To expedite the ordering process, please know the following information before you contact this rep:

  • Title, author, or ISBN, of the book(s) to be ordered
  • Number of copies needed
  • Your organization’s account number and billing address
  • Shipping address
  • Contact name and phone number
  • Type of discount (Returnable or Non-Returnable)
  • Date of the event and desired delivery date
  • Purchase Order (PO) number

If your organization doesn’t have an account number, one will automatically be assigned after the order has been placed.

If you don’t know your organizations account number or are unsure if one exists, the Holt Rep can check for an account using the organization’s billing address.
There are two available discounts:

-47% off the cover price per book, if you need to return unsold copies after the event
-50% off the cover price per book, if you don’t need to return unsold copies after the event

There is no minimum or maximum amount of books needed for you to order to qualify for one of these discounts.

Some organizations assign PO numbers to all of their orders, to help keep track of them. If your organization uses requisition forms, the PO number is usually preprinted on it or assigned by the organization’s purchasing office.

If your organization does not assign PO numbers to their order, the Holt Rep will assign one to your order.

Your organization is responsible for shipping charges when ordering and returning books. The shipping charges are not a fixed amount. They are determined by the weight of the shipment and the distance from the warehouse to the delivery address. VHPS Customer Service can calculate this figure for you.

VHPS (Von Holtzbrinck Publishing Services) is Holt’s warehouse in Gordonsville, VA where all orders are filled and processed. VHPS Customer Service can be reached at 888-330-8477.

VHPS Customer Service can provide you with the total cost of the order.
Your organization does not have to pay for the books up front. Books arrive with an invoice. The organization has thirty (30) days from the date of the event to pay the invoice.

You may be wondering if the entire invoice must be paid if you plan on returning books. The best thing to do is to subtract the amount for the returned books from the invoice and pay the balance. If the entire invoice is paid instead, your organization will receive a credit on your account for the returned books.

The best time to order is at least four weeks before the event. This allows time for changes and—if necessary—additional and/or replacement shipments.

If the books need to arrive in less than four weeks, there is no extra shipping charge. All shipments, except Overnight delivery, are charged at the FedEx Ground shipping rate—which is FedEx’s cheapest rate.

If you need to know the status of your order, contact theVHPS Customer Service. Please provide the account number (or address information) and the PO number of the order.

After the author event is over, contact the VHPS Customer Service concerning returns.

If you’ve chosen the returnable discount, you cannot return signed books, so make sure the author signs sold copies only. All returned books must be in the same condition as when you received them.
